OCP NatCo

Job Title: Organizational Committee President for National Conference

Accountable to: Conference Manager (Member Committee (MC), pre-conference) / Chair (on site)

Principal responsibility for the conference (excluding everything that concerns the content)

  • Recruit and select the OC and the extended OC (xOC)
  • Lead, coach and motivate the OC and xOC and build up a team spirit
  • Plan the OC-work, OC-meetings, etc.
  • Plan the conference preparation (timeline, action plan, etc.)
  • Budget the conference (collaboration with VPF)
  • Ensure the organizational and logistical needs of the conference
  • Ensure an effective run of the conference
  • Coordinate with the MC (mainly with the appointed Conference Manager) and the Chair
  • Coordinate with the site
  • Plan the fund- and in-kind-raising
  • Plan coffee-breaks and parties

People involved:

  • Pre-Conference: OC, MC (manly Conference Manager), Members of AIESEC in Switzerland, Internationals, (LCVPF)
  • On Site: OC and xOC, Chair, MC, Facilitators (FACIS), Members of AIESEC in Switzerland, Internationals

A word from a former OCP NatCo:

A National Conference (NatCo) is organized in close cooperation with the MC of AIESEC in Switzerland. While the MC is responsible for everything that concerns the content of the conference (all sessions, external workshops, awards ceremony, slogan, etc.) the OC holds responsible for all the administrational and fun part of it, like the coordination with the site (accommodation, meals, room allocation), the delegates applications, the coffee-breaks and welcome-packages (in-kind-raising), the parties (incl. themes), the logo, the t-shirts and the badges.

Being OCP means to be the leader of a team of about five members during the preparation time and up to 20 on site during the conference. As OCP you are team-leader and team player at the same time. On one hand it means to recruit, to motivate, to coach the OC and to represent its interests facing others, but then it also means to be part of the team and work together to achieve the common goal – organizing an amazing and hopefully memorable conference for AIESEC in Switzerland.

My time as OCP gave me the early chance to learn what it means to be the principal responsible for such a huge project. It is certainly very rewarding to be OCP of Do-it or Kick-Off on a personal and professional level. On the personal side, it just feels fantastic when you have all the delegates, the FACIs and the MC as well as your own team thanking you for all your effort and the awesome conference that you’ve realized when they see you around on site, when you enter the party-room or when you get all their sugar-cubes. From the professional point of view, as extracurricular activities are extremely important, having been the head of a project like this, improves your CV considerably. But then it is also very challenging and it takes a lot of time to prepare a National Conference and the OC-meetings and finally to meet all the different stakeholders. Nevertheless I believe that every single hour that I’ve invested into “my” conference was worth it.

The decision to become OCP of one of AIESEC in Switzerland’s biggest National Conferences was probably one of the best I’ve taken during my time at University! Now it’s your time and chance to organize a 4-day conference with more than 300 participants and to give it your own touch…
